Human Resources Administrative Assistant

The Human Resources Administrative Assistant serves as the primary point of contact for the Office of Human Resources and performs a full range of varied and complex administrative duties and projects for the Vice President for Human Resources and the Office of Human Resources staff, including, but not limited to, greeting and assisting visitors, triaging incoming calls and general email correspondence, data entry, and coordination of human resource sponsored events.

Essential Duties:

- Provides specific and general human resources administrative assistance to the Vice President of Human Resources, including calendar scheduling, travel arrangements, internal and external employee search support, organizational chart development and special projects; assists with presentation and report development
- Provides front desk coverage; answers telephone calls, greets visitors, triages inquiries and issues, assists job applicants, distributes mail and performs other administrative support duties
- Coordinates employee recognition and training events, which includes room reservations, special equipment from IT, catering, and ensures employee recognition awards are created and ready for the employee recognition event; participates in employee recognition events, as requested
- Primary contact for all workstudy student new hires, graduate assistant new hires, and non-employee affiliates
- Completes data entry into HRIS software for all non-employee affiliates; updates address changes, as needed; completes supervisor changes, as needed
- Releases employment applications in the employment online system daily
- Assists with the administration of Mission and Community Service Leave requests and Alternative Work Schedule requests
- Completes and returns employment verifications
- Assist with the communication, organization, and orientation for all new hires, Fulbright Scholars, graduate assistants, and workstudy students
- Order and maintain office supplies and office inventory and oversee the preparation and implementation of work orders for the division
 
High school diploma or equivalent; minimum of three (3) years of related experience in an office setting in an administrative role
