Job Summary
We are seeking a motivated and organized professional to join our team. This role is essential in ensuring the smooth operation of our office environment.
The position of Receptionist and Office / Project Administrator is developed as a cross-bread, multi-tasking position of different aspects of the office and will be to performing front desk, administrative and office support activities, as well as to administratively assist project managers and firm principals in the daily activities of projects and the office.
The ideal candidate will possess strong communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. As the first point of contact for clients and visitors, you will play a vital role in creating a welcoming atmosphere while supporting various administrative functions.
Responsibilities
- Greet and assist visitors in a professional and friendly manner.
- Manage incoming calls, directing them to the appropriate personnel or taking messages as necessary.
- Oversee and schedule office luncheons and educational sessions, conference room utilization/scheduling and general office calendar.
- Organize and maintain office files, both electronic and physical, ensuring easy retrieval of information.
- Utilize Google Suite for document creation, scheduling, and communication. (additional use of pdf editing and Adobe Suite is a bonus)
- Assist with clerical duties such as photocopying, scanning, and filing documents.
- Support office management tasks including inventory management of office supplies.
- Maintain confidentiality of sensitive information in accordance with company policies.
- Collaborate with team members to ensure efficient workflow and support departmental needs.
- Collaborate with project management team and assist in daily task of project administration and oversight.
- Assist project teams with the editing of templets and production of project specifications through Microsoft word.
- Assist Marketing Team with production and implimenation of marketing and material.
- Assist principals with executive task and office / project management activities.
Requirements
- Must be well versed using Microsoft Office Suite specifically Excel, Word and Outlook (Bluebeam and Adobe are a plus).
- Ability to utilize web-based document sharing programs
- Strong organizational skills with the ability to manage time effectively.
- Previous experience as a receptionist or in an administrative role at a professional office is ideal but not required. Familiarity with office management practices is a plus.
- Ability to take direction well, offer productive input and multi-task for several projects
- Ability to handle clerical duties with accuracy and efficiency.
- Strong interpersonal skills with the ability to communicate effectively at all levels.
- Must be able to work independently as well as part of a team.
- In-person work required, determination of schedule/hours is flexible.
