ESSENTIAL FUNCTIONS, PRIMARY RESPONSIBILTIIES AND OBJECTIVES: The Advancement Activities Coordinator provides essential administrative and operational support to the Advancement Office. This role is responsible for the effective maintenance and management of the College’s donor database and supports all fundraising, alumni relations, and event-related initiatives. The coordinator ensures accurate gift processing, data integrity, reporting, and assists in the execution of events and donor stewardship. Additionally, the position oversees theater event coordination and rental management, serving as a liaison between internal departments and external partners.
ESSENTIAL FUNCTIONS
- Manage and maintain constituent records, ensuring the accuracy of biographical and gift data, pledge documentation, estate plans, grants, and scholarship agreements.
- Collaborate with the Gift Officer to analyze fundraising data, support prospective research, and generate reports that guide strategic decision-making.
- Interpret and apply IRS guidelines for fundraising documentation and reporting; support compliance with VSE (Voluntary Support of Education) standards.
- Generate mailing lists and segmentation for solicitations, appeals, and event invitations for Advancement and other campus departments.
- Track appeals, event-related giving, grants, and other revenue sources by campaign and category.
- Prepare donor acknowledgment letters and pledge reminders in a timely and accurate manner.
- Implement and uphold best practices for gift receipting and donor acknowledgment.
- Identify lost alumni, research updated contact information, and update records accordingly.
- Support system upgrades, data cleanup, and provide training and assistance to staff on database use and protocols.
- Collaborate with the Business Office to reconcile gifts and maintain accurate financial records on a daily, weekly, monthly, and annual basis.
- Provide general administrative support to the Advancement Office, including scheduling meetings, maintaining records, assisting with purchases, and supporting departmental projects.
- Coordinate and manage College and rental events hosted in the theater, including budget oversight, scheduling, and logistics.
- Serve as the primary liaison for theater rentals, ensuring smooth coordination with maintenance, food services, and other relevant departments.
- Assist in the planning and execution of key fundraising and alumni events such as:
- Annual Golf Tournament
- Clay Shoot
- Brews and Bites
- 409 on Adams pop-up experiences
- Other new or recurring donor/alumni engagement events
- Partner with the Marketing and Public Relations departments to produce event materials such as invitations, programs, web content, and tickets.
- Performs other related duties as assigned by the supervisor or as designated by College leadership to meet departmental and institutional needs.
KEY COMPETENCIES
- Strong attention to detail and ability to follow College policies and procedures.
- Excellent time management, planning, and organizational skills.
- Effective written and verbal communication abilities.
- Familiarity with database systems; experience with Raiser’s Edge or other Blackbaud products is a plus.
- Ability to collaborate across departments and maintain professional relationships.
- Demonstrated ability to maintain reliable transportation and a flexible schedule, including availability to work evenings, weekends, and travel as required by the position.
- Ability to manage multiple projects and priorities while maintaining a high level of accuracy.
- Customer Service orientation and a commitment to donor stewardship and engagement.
EDUCATION
- Bachelor’s degree required.
EXPERIENCE
- 3–4 years of experience in customer service, administrative support, or a related field.
- Prior experience in higher education and/or advancement preferred.
- Familiarity with gift processing and donor relations is desirable.
