We are seeking a highly organized and versatile Office Manager to become the central hub of our operations, supporting both our technical team and our business administration.

Position Summary

The Office Manager is a critical hybrid role responsible for ensuring the seamless execution of day-to-day office administration while also providing hands-on technical and operational support. This individual will manage procurement, inventory, and administrative logistics, and will assist with testing and repairs. The ideal candidate is a proactive problem-solver who excels at multitasking in a fast-paced engineering environment.

Key Responsibilities

Technical & Operational Support (Approx. 50%)

  • Procurement: Manage the full procurement lifecycle for all technical components, materials, and equipment required for building, ordering, and testing, in addition to general supplies.

  • Inventory Control: Oversee and manage physical inventory, tracking on-hand components and forecasting future needs to support ongoing projects and future orders.

  • Testing & QA: Assist the engineering team with programming and testing units to ensure they meet quality standards.

  • RMA Management: Assess and process Return Merchandise Authorization (RMA) units, including testing, troubleshooting, and performing repairs as needed.

Administrative & Office Management (Approx. 50%)

  • Office Administration: Ensure the office runs smoothly by managing and ordering all general day-to-day supplies (e.g., printer paper, pens, kitchen supplies).

  • Financial Administration: Generate and track Purchase Orders (POs) for all purchases; assist with accounts payable by processing and paying invoices as needed.

  • HR & Onboarding: Work closely with HR during new hire onboarding to ensure all accounts are set up and new employees have their laptops, access, and other necessary equipment on day one.

  • Shipping & Logistics: Manage all outgoing and incoming shipments, including packing and fulfilling orders, and tracking shipments to confirm successful delivery.

Qualifications & Skills

  • Proven experience in an office management, logistics, administrative, or operations role.

  • Experience in an engineering, manufacturing, or other technical environment is strongly preferred.

  • Demonstrable technical aptitude and willingness to perform hands-on tasks like testing.

  • Experience with procurement, inventory control, and purchase orders is required.

  • Exceptional organizational skills with a keen eye for detail and the ability to manage multiple priorities simultaneously.

  • Strong computer skills, including proficiency in MS Office (Word, Excel) or Google Workspace.

  • Excellent written and verbal communication skills.

  • A proactive, self-starting attitude with the ability to work independently as part of a small, collaborative team.
