Job Summary
We are seeking a highly organized and dynamic Pediatric Office Manager to oversee the daily operations of our pediatric practice. The ideal candidate will possess strong leadership skills, excellent communication abilities, and extensive experience in office management within a medical setting. As the Office Manager, you will ensure efficient practice operations, supervise staff, and maintain high standards of patient service and administrative excellence.

Responsibilities

  • Manage the overall functioning of the pediatric office, including scheduling, staffing, and workflow optimization.
  • Supervise administrative staff, including clerical and clinical teams, providing training and performance evaluations.
  • Oversee billing processes, bookkeeping, payroll administration as well as using QuickBooks online.
  • Coordinate with vendors for supplies, equipment maintenance, and other office needs to ensure smooth operations.
  • Handle human resources functions such as hiring, onboarding, training & development, and maintaining employee records.
  • Compliance with all necessary state and federal regulations as pertains to HIPAA, OSHA and other workplace topics.

Skills

  • Proven experience in office management within a medical or healthcare environment with strong administrative skills.
  • Demonstrated supervisory experience with the ability to lead and motivate a team effectively.
  • Proficiency in QuickBooks online for bookkeeping as well as Microsoft platform.
  • Excellent organizational skills with attention to detail.
  • Strong communication skills for interacting with staff, patients’ families, vendors, and healthcare providers.
  • Knowledge of human resources practices including hiring procedures and employee development.
  • Experience managing vendor relationships and overseeing office supplies procurement.
  • Familiarity with medical office management protocols and front desk operations.
  • Ability to handle multiple priorities efficiently while maintaining professionalism under pressure.
