Big Bass Lake Community Association, Inc. is seeking a highly organized, service-driven, and emotionally intelligent ARC Coordinator to join our team.

 

This is not simply an administrative role, nor is it solely a compliance position. It is a unique opportunity for a seasoned professional who can successfully balance organization, follow-through, architectural review coordination, member education, and enforcement responsibilities with a calm, courteous, and solutions-oriented approach.

 

The ARC Coordinator plays an important role in supporting the Association’s Architectural Review Committee (ARC), helping property owners navigate the architectural application process, coordinating permits and records, monitoring approved projects and compliance matters, and serving as a liaison between members, builders, contractors, committee volunteers, and staff. This position also provides backup support to the Administrative Office team, so flexibility, teamwork, and a strong service mindset are essential.

 

We are looking for someone who understands that community standards matter, but so does the manner in which those standards are communicated and enforced. The right candidate will be able to hold firm boundaries, communicate expectations clearly, and guide members toward compliant solutions with professionalism, patience, and respect.

 

Position Overview

 

The ARC Coordinator is responsible for coordinating architectural applications and permits, maintaining records and project files, monitoring compliance with approved plans and community standards, preparing correspondence and committee materials, conducting inspections, and supporting members and contractors through the ARC process from start to finish.

 

This role requires a strong balance of administrative discipline, field awareness, written communication, diplomacy, and sound judgment. It is ideal for someone who is equally comfortable working at a desk or boots on the ground in the Community, speaking with members and builders, preparing detailed records and correspondence, and navigating the nuanced, people-centered side of compliance and enforcement.

 

Key Responsibilities

  • Coordinate architectural applications, permits, supporting documentation, and related member communications
  • Serve as a professional and helpful point of contact for property owners, builders, and contractors regarding ARC procedures, project requirements, and application status
  • Conduct inspections and follow-up reviews related to approved projects, compliance concerns, architectural violations, and related exterior improvements or modifications
  • Prepare letters, notices, reports, meeting materials, and status updates related to ARC activity, violations, project monitoring, and member follow-up
  • Maintain ARC files, project records, violation logs, permit tracking, contractor information, and related documentation in an organized and timely manner
  • Support ARC meetings by preparing agendas, packets, reports, and updates, and attending meetings
  • Coordinate with internal departments regarding construction activity, compliance issues, resale matters, and member concerns
  • Provide backup support to Administrative Assistants and assist with general office, membership, and administrative functions as operational needs require
  • Support additional projects and cross-functional responsibilities as assigned in support of the Association’s operational needs

 

The Ideal Candidate

 

The successful candidate will be a seasoned administrator with a service-first mindset who is also comfortable working in a role that involves inspections, compliance follow-up, member education, and difficult conversations. This is not solely an office position, it will require significant hands on, in the field inspection, evaluation, and coordination.

 

This role is ideal for someone who can:

Qualifications

  • High school diploma or equivalent required; associate degree or relevant coursework preferred
  • Prior experience in community association management, property management, administrative coordination, compliance/enforcement, permitting, inspections, construction administration, municipal/code-related work, or a related field strongly preferred
  • Prior experience in community association management or property management software a plus (CINC, Yardi, Vantaca, etc.), or familiarity with architectural plans/drawings/schematics
  • Strong understanding of legal or hierarchical governing documents such as Covenants, Bylaws, Local Ordinance and Law, and Township and Municipal Enforcement Codes
  • Strong written and verbal communication skills
  • Strong administrative, organizational, and follow-up skills with attention to detail
  • Ability to manage multiple priorities and maintain accurate records in a fast-paced environment
  • Ability to exercise sound judgment, professionalism, discretion, and tact
  • Proficiency with Microsoft Office and general office systems
  • Valid driver’s license and clean driving record with the ability to travel throughout the community for inspections, meetings, and site visits

 

Schedule & Classification

  • Full-Time
  • Non-Exempt / Hourly
  • Schedule to be determined based on operational needs
