We are seeking a highly organized, detail-oriented Construction Administration Coordinator to support our architectural team by managing the administrative and regulatory documentation required for New York State Education Department (NYSED) capital projects.

This position is ideal for someone who enjoys working with complex documentation, coordinating multiple project deadlines, and serving as a key resource for project teams. Previous experience with NYSED project documentation is preferred but not required—we are willing to train the right candidate with exceptional organizational and administrative skills.

What You'll Do

As a Construction Administration Coordinator, you will be responsible for preparing, organizing, tracking, and submitting construction-related documentation throughout the life of a project. Responsibilities include:

  • Prepare, review, and process NYSED project documentation.
  • Coordinate and submit Building Condition Surveys (BCSs).
  • Prepare and process Change Orders and supporting documentation.
  • Complete and track FP-F forms and other NYSED-required submissions.
  • Maintain project records from design through project closeout.
  • Track submission deadlines, approvals, and regulatory milestones.
  • Coordinate documentation between architects, engineers, consultants, contractors, school districts, and NYSED.
  • Assist project managers with construction administration paperwork and contract documentation.
  • Organize electronic and paper project files.
  • Monitor project status and provide updates to project teams.
  • Assist with bid, construction, and closeout documentation as needed.

  • Ability to manage multiple projects and deadlines simultaneously.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and Adobe Acrobat.
  • Ability to work independently while collaborating with multiple project teams.
  • Experience in architecture, engineering, construction, or project administration is preferred.
  • Familiarity with NYSED processes, BCSs, FP-F forms, Change Orders, and public-school capital projects is a strong plus but not required.
